    FSA standards require financial institues to keep records upto 6 years after the relationship finishes. This means that if you had a loan with i.e. Natwest and no other accounts with them, they only have to keep the records for 6 years. After this time period they are entitled to delete and destroy any records they hold for you. However, if you also had a current account with them after your loan was paid off, they must keep information on old history as well as current. Therefore if you are claiming back on an account where there is no further relationship with the company and it is over 6 years, then they may not have the information.
